Privacy Policy
Last updated: October 14, 2026
This Privacy Policy explains how Ember Development Studios, LLC (“we”, “us”) collects, uses and protects information when appraisal firms and their staff use SwiftAppraise at swiftappraisaldocs.com. SwiftAppraise is a business tool: each firm that subscribes controls the project content its staff put into it, and we process that content on the firm’s behalf.
1. Account information
When you sign up or are invited, we collect your email address, your name, a password (stored only as a secure hash by our authentication provider), your firm’s name and your role in it. If you add them in Settings, we also keep your appraiser certification number, issuing state and expiry date, which are printed on the reviews you approve, and your firm’s logo.
2. Project content
Your firm’s projects hold what your staff enter or upload: FDOT project, parcel and property details, appraisal reports and other documents, photographs, comparable sales, valuation figures, reviewer conclusions and notes, approvals, and the generated PDFs. Uploaded appraisals often contain information about property owners. Your firm is responsible for having the right to upload it, and we use it only to provide the service to your firm.
3. Public records we provide
Comparable sales come from county Property Appraiser sale and parcel records published by the Florida Department of Revenue. These are public records; we show them only to signed-in firm members to help them choose comparable sales.
4. How we use information
To run the service: sign you in, show your firm’s projects to the members of your firm, generate PDFs and packages, route work for approval, send the emails you ask us to send (such as a package to an FDOT district contact), bill your firm, provide support, keep the service secure and meet legal obligations. We do not sell personal information and do not use your content for advertising.
5. AI document analysis
When you ask SwiftAppraise to read an uploaded appraisal, its text is sent through our servers to Anthropic (Claude) to extract figures for your reviewer to check, and the result is returned to you. Under Anthropic’s commercial terms, content sent through its API is not used to train its models.
6. Service providers
We use these processors to run SwiftAppraise, each only to perform services for us:
- Supabase: database, file storage and authentication.
- Vercel: website hosting.
- Stripe: subscription billing. We never see or store full card numbers.
- Resend: sending email.
- Anthropic: AI document analysis.
- Cloudflare: Turnstile, which checks that sign-ins and sign-ups come from a real person.
7. Sharing
Project content is visible to the active members of your firm. It leaves SwiftAppraise only when a member of your firm sends or downloads it (for example, emailing a package to an FDOT contact), through the providers above, or where required by law or to protect rights and safety.
8. Security
Data is encrypted in transit and at rest. Uploaded documents are kept in private storage that only your firm’s members can reach, database rules keep each firm’s data separate, and approved or delivered packages are locked against changes. No system is perfectly secure; tell us at once if you suspect unauthorized access to your account.
9. Retention
We keep your firm’s content while its trial or subscription is active and as needed for its records. Your firm can ask us to delete its account and content; we then delete it, except limited records we must keep for legal, tax, billing or security reasons. Appraisal records may be subject to retention duties your firm has under USPAP or its contracts; packages can be downloaded at any time, and keeping your own copies is your firm’s responsibility.
10. Your choices and rights
You can view and update your profile in Settings. To access, correct, export or delete personal information, email support@emberdevstudios.com. If the information is part of your firm’s projects, we may refer the request to your firm. Your firm’s administrators can remove members.
11. Cookies
We use only the cookies needed to keep you signed in and to run the service securely. We do not use advertising or cross-site tracking cookies.
12. Children
SwiftAppraise is a professional tool not directed to anyone under 18, and we do not knowingly collect information from children.
13. Changes and contact
We may update this policy and will change the date above; we will tell account owners about material changes by email or in the app. Questions: support@emberdevstudios.com.
